A friend of mine who works with the developmentally disabled recently asked me to review the Xerox Phaser 790 printer and Xerox Printer Toner Cartridge. Her agency is pretty small so they don’t have a lot of capital to invest in office equipment. What I found is that this model has been discontinued but can still be found in refurbished or off-lease condition from some online retailers.

The nature of working for a charitable organization is that there is never enough money; in this area the Phaser 790 perfectly matched the needs of my friend’s agency. With a maximum capacity for 1400 sheets, staff can load it and forget about it. Saving them time that would be better spent working with clients. The only thing in shorter supply around NPOs than money is time, so this should be considered a positive for the 790.

Another time saving feature of this Xerox Phaser 790 is the ability to store documents for reprinting on the standard 6 BG hard drive. Rather than finding and sending a job to the printer and going to collect it, a staff member could simply walk to the machine and spool through the memory to print the document.

The Phaser 790 is not without cons, however. The most obvious to me was that it lacks any USB drives. As flash memory continues to drop in price and becomes a more common sight in the workplace this will become an issue for staff wanting to quickly transfer data from one network to the printer. The only input connections that the 790 has are integrated serial port and 10/100 ethernet ports.

The other major con faced by the Phaser was the fact that it could only be purchased as used or refurbished. While this created a pro in the area of cost, receiving service would be difficult and costly. If the agency bought off of an inscrutable dealer or got a defective model the costs could quickly overtake the savings.

After weighing the potential of the Xerox Phaser 790, I chose to offer a conditional recommendation. Since the agency was only planning on using the Phaser as an interim printer while they worked to find a long-term solution I felt that the potential for maintenance costs to skyrocket was manageable. As a functional printer the Phaser 790 would meet the needs of this group.
